What data and why

If you contact us through the form, we receive what you enter yourself: your name, email address, phone number (if you provide it), the service you select and your message. If you email, call or message us directly, we receive your name, contact details and your message. We use these only to answer your enquiry and, if you ask for one, to prepare a quotation. We do not send newsletters or advertising.

Legal basis

Processing is based on taking pre-contractual steps at your request, such as answering your enquiry or preparing a quotation (article 6.1.b GDPR), and on your consent, which you give by submitting the form and can withdraw at any time (article 6.1.a GDPR).

Retention

If your enquiry does not lead to an assignment, we delete your data no later than one year after our last contact. If you become a client, we keep what is needed for the assignment, and afterwards for as long as the law requires, for example the tax retention period for invoices.

Recipients

We do not sell your data or share it with others for their own purposes. For the website and our communication we work with the following service providers:

• Google Firebase Hosting (Google Ireland Ltd.) — website hosting and log files • Web3Forms — processing and forwarding the contact form • Google Workspace (Google Ireland Ltd.) — receiving and answering email • Google Fonts (Google Ireland Ltd.) — displaying fonts • Unsplash — some stock imagery • WhatsApp (Meta) — only if you contact us via WhatsApp

Some of these services may process data outside the EEA. This is based on the European Commission’s standard contractual clauses or the EU-US Data Privacy Framework.

Your rights

You can access, correct or delete your data. You can also object, restrict its use, take your data with you and withdraw consent you have given. Write to matthijs@visuvista.net; we respond within one month. If you are not satisfied, you may lodge a complaint with the data protection authority of the country where you live or work, for example the Dutch Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl) or the Spanish Agencia Española de Protección de Datos (aepd.es).

Security

The website runs exclusively over a secure connection (HTTPS). We take appropriate technical and organisational measures to protect your data.

Alfred, our in-house assistant app

Visu Vista uses a self-built assistant app, Alfred, for its own scheduling. Alfred is for internal use only and is not available to visitors or clients.

• With the owner’s permission, Alfred reads the owner’s own Google Calendar and, after explicit confirmation, can add events to it, never inviting other people. • This calendar data is used only to help the owner with his planning. It is stored on the owner’s own computer. To put together the daily overview and answer the owner’s questions, it is also processed by Anthropic’s AI service (Claude), which does not use it to train AI models. Reading it aloud happens on the owner’s own computer; only if that local voice is unavailable is the text sent to Microsoft’s speech service. • We do not sell this data, share it with others or use it for advertising. • Alfred’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
